Job Description We are looking for a motivated individual to join the Horsham office as an Office Administrator (Business Support Assistant). The person will have energy and enthusiasm with good communication and numerical skills. Being prepared to get involved in a wide range of tasks and maintaining high levels of organisation is pivotal to the role. This role is part-time, approximately 18 hours per week, worked over 5 days (Monday to Friday) and will be office based. Overview Of The Role The Office Administrator duties will include, but not be limited to: project administration/ management support, support to Management and Engineers and other office functions such as HR and Office Manager. The role reports to the Director. Key Responsibilities answering telephone and directing incoming enquiries; processing incoming and outgoing post, processing invoices, dealing with deliveries and couriers; being a key user of the business management system and assisting project managers with: issuing invoices, project opening and closing, release and non-reliance letter preparation, credit control; chasing clients for payment of invoices chasing missing invoices from suppliers assisting team with inputs to and management of items within AFRY’s Customer Relationship Management (CRM) tool assisting the Team with travel booking and car hire on an ad-hoc basis; help with other general office duties including assisting HR, Finance and Support functions newcomer and staff admin: maintaining accurate holiday booking records, preboarding and onboarding, arranging induction for newcomers; Collation of overtime records, managing authorisation of overtime/other allowances, and production of payroll input file for HR assisting in providing administrative support to the team; ordering stationary, printer consumables, Bebo water filters etc as required ordering coffee and tea bags and collecting milk as required creating PowerPoint presentations in line with company guidelines and templates; proof-reading documents and presentations; printing and binding presentations when required; providing holiday/ sickness cover for other support staff and carrying out any other duties and tasks which may be required reception and meeting visitors in a warm and professional manner; meeting room management: receiving guests and serving them refreshments for meetings; responsible for preparation and clearing of meeting rooms, managing meeting room calendars, organising catering for meetings as required; Cleaning of office space as required (hoovering once per week and wiping down common areas. Staff are responsible for their own workstations and crockery/cutlery etc) Fulfil the role of Horsham Office Quality, Health & Safety, Environmental, Security representative (reporting to HSEQ Compliance Officer & Deputy Security Controller) Qualifications You will: have proven multi-tasking abilities and be highly organised and self-motivated; be able to work efficiently and effectively, independently, one-on-one or within a wider team with excellent time management; have a professional manner and excellent communication skills, both written and spoken and be confident and comfortable dealing with all levels of staff; be a fast learner, with a proactive approach to seeking solutions and dealing with workload; proficient in Microsoft Office, particularly PowerPoint and Word, with a working knowledge of Excel be able to work well with a wide range of colleagues, both in Horsham, and across our international offices; have excellent written English with meticulous attention to detail; and It is desirable, but not essential, for you to have experience with Maconomy or similar business management system and/or a CRM system.
