Service and Maintenance Administrator

West Midlands

Up to £22,000 base per annum subject to experience, plus holiday and pension

T2M Technical and Engineering are recruiting for a Service and Maintenance Administrator for a business leader in the HVAC industry. Reporting to the Service and Maintenance Manager, as a Service and Maintenance Administrator you will be working within the Service and Maintenance Team and be responsible for scheduling Engineers and supporting the Service Team in all areas of administration.

Duties of a Service and Maintenance Administrator:

* The conduit of communication channels to include but not limited to telephone answering, logging of all client callout calls and emails, planning engineers and communicating with the client to book in visits, communicating requirements to service engineers and liaising with them daily.

* Managing reactive work and assisting with management of PPM works and planned/quoted works as required, to include following up on quotes proactively to ensure orders are secured.

* Ensure engineer reports are sent following every visit and that reports are clear and communicate the right information.

* Managing and recording of stock.

* Allocating costs to the jobs to allow invoicing.

* General Administration, office procurement and Continuous Improvement (CI) and innovation in your role and department.

Requirements to be successful as a Service and Maintenance Administrator:

* Ideally, NVQ Level 2 in Administration or equivalent, or demonstrable administration experience.

* Competent user of MS Word & Outlook to write reports/emails and prepare documents.

* Must be a competent user of MS Excel to develop and maintain spreadsheets.

* Excellent written and oral communication to include an exceptional telephone manner.

* Have excellent attention to detail, be able to prioritise, think quickly, problem solve, with strong organisational skills.

* Ideally, have experience of booking engineers and management of engineer diaries
